HACCP records in the United States

Identify the state and local authority, the adopted rules and any conditions on the permit. A national model is a starting point for review, not one universal set of mandatory limits.

Putting this into practice in the United States

Set up records for the authority that regulates your US establishment. The FDA Food Code is a model used by state and local jurisdictions, with different editions and amendments in force. Choose the site's state, review the local requirements, and connect person-in-charge reviews to the actual food processes.

FDA: Food Code and jurisdiction adoption
  1. Keep normal operating procedures separate from any special-process HACCP plan or variance required by the authority. Record the approval documents with the relevant process where applicable.
  2. Prepare site-specific inspection evidence with the check history, responsible staff and corrective actions. The exported records support review; they do not grant a permit or regulatory approval.

What it does

Records in one place
Checks, temperatures, corrective actions and incidents are kept together against the right site and date.
Time-stamped history
Every entry is recorded as it happens, so your food safety records build themselves over the day.
Corrective actions
When something is out of range, the action you took is recorded alongside the check.
Supports your system
ProCafe supports HACCP record keeping and food safety management — it organizes the records you keep; it does not certify HACCP.
Manual food-safety plan authoring
Author process flows, hazard analysis, critical control points, monitoring, corrective actions and review records. HACCP plans support your site process. Review and publish versions with PDF exports. Available on web and mobile with an internet connection.

How it works

  1. Set up your checks

Mirror your food safety management system in your checks and schedules.

  2. Capture as you go

The team logs checks and temperatures on shift, with corrective actions when needed.

  3. Find and export

Filter by site and date and export a tidy record pack whenever you need it.

Organized and exportable

Your HACCP-based records stay tidy and time-stamped, ready to filter and export — for your own files or to show an inspector your records.

  • Time-stamped checks, temperatures and corrective actions
  • Filter by site and date range
  • Export as PDF, CSV or XLSX
