Actions attach to the incident — close it with a note when it's handled.
Putting this into practice in the United States
Set up records for the authority that regulates your US establishment. The FDA Food Code is a model used by state and local jurisdictions, with different editions and amendments in force. Choose the site's state, review the local requirements, and connect person-in-charge reviews to the actual food processes.
FDA: Food Code and jurisdiction adoption- Use the local authority's notification and corrective-action arrangements where applicable. Recording an incident in ProCafe does not contact the health department or approve reopening.
- Preserve the original observation and supporting supplier or equipment records. Record the disposition of affected food separately from the repair or successful recheck.
What it does
- Log it in the moment
- Any team member can report an incident or accident from their phone while the details are fresh — no waiting for the manager.
- Record the action taken
- Attach the corrective actions to the incident itself, so what happened and what you did about it live together.
- Review and close
- Managers review open incidents and close them with a note, so nothing stays ambiguously 'sort of handled'.
- The right people see it
- Staff see their own reports; owners and managers see everything — visibility follows the role.
- Serious cases, flagged
- Mark whether an accident may need reporting so serious cases are flagged for follow-up. Reporting to OSHA or your local authorities remains your responsibility.
- Complaint handling and trends
- Track complaints from receipt through investigation, response and resolution. Assign corrective actions and compare recorded categories across sites over the last 90 days. Trends are based on your structured records. Available on web and mobile with an internet connection.
How it works
Report it
What happened, when and who was involved — captured on the spot.
Add the actions
Record each step you took, as you take it.
Close it out
A manager reviews and closes with a note; the full record is kept.
A record you can stand behind
Every incident is a time-stamped record with its actions attached — there when your insurer, your health inspector or your own review needs it.
- Time-stamped, with actions attached
- Role-based visibility
- Export with your records
