Records & Proof
ProFood-safety procedures in the United States
Identify the state and local authority, the adopted rules and any conditions on the permit. A national model is a starting point for review, not one universal set of mandatory limits. Turn your setup answers into editable procedure drafts, publish the version you approve, and know exactly who signed it — a ProCafe Pro feature for cafes, delis and bakeries. For the US, the six starter procedures follow the FDA Food Code model with notes on your state's adopted rules — the model is not automatically local law, so you review and adapt each draft against your state and local health department's requirements before publishing.

Putting this into practice in the United States
Set up records for the authority that regulates your US establishment. The FDA Food Code is a model used by state and local jurisdictions, with different editions and amendments in force. Choose the site's state, review the local requirements, and connect person-in-charge reviews to the actual food processes.
FDA: Food Code and jurisdiction adoption- Keep normal operating procedures separate from any special-process HACCP plan or variance required by the authority. Record the approval documents with the relevant process where applicable.
- Prepare site-specific inspection evidence with the check history, responsible staff and corrective actions. The exported records support review; they do not grant a permit or regulatory approval.
What it does
- Drafts from your profile
- Generate draft procedures matched to your site's profile and risks: employee hygiene, employee health, cleaning and sanitizing, cross-contamination and allergens, temperature control, deliveries and supplier checks. Starter wording follows the FDA Food Code model plus your state's adopted-rule notes — you review, edit and approve it for your premises and your jurisdiction.
- Publish immutable versions
- When a procedure is right, publish it. Published versions never change silently — an edit becomes the next version, and the record of what was in force stays intact.
- Owner-reviewed task suggestions
- A published procedure can suggest scheduled tasks. Nothing is created automatically: you review the suggestions and pick which to create, duplicates are skipped, and some procedures suggest none.
- Staff sign-off, on the record
- Assign a published procedure and capture each person's sign-off against that exact version — an internal record of who read what, and when.
- Procedures for your location
- Pro includes source-linked procedure starters for supported markets, with separate Scottish and Northern Irish methods. Review the activities and local requirements for each site before publishing a version and requesting staff acknowledgement.
How it works
Generate and edit
Create drafts from your setup answers, then edit them until they describe how your kitchen actually works.
Publish and assign
Publish the approved version, assign it to your team, and create the suggested tasks you choose to keep.
Export the pack
Download branded procedure and inspection-pack PDFs when someone needs to see them.
Procedures you can stand behind
Every published version is immutable and every sign-off names the exact version signed. ProCafe organizes the procedures you approve — it never certifies them.
