Choosing food safety software for a cafe: what matters, what doesn't

Food safety software digitises the records side of your food safety management system — the daily diary, the fridge temperatures, the allergen matrix. It doesn't make the safe-method decisions and it can't promise an inspection result. Here's what the good tools genuinely change, what they cost, and the questions that separate them on a trial.

Any vendor promising a hygiene-rating outcome is overpromising — the rating scores how the kitchen actually runs on the day.

What food safety software actually does

The job is contemporaneous records: opening and closing checks completed on a phone in the kitchen, fridge and freezer temperatures logged as they're read, corrective actions captured next to the reading that triggered them, an allergen matrix staff can check at the counter, and delivery records with an explicit accepted-or-rejected outcome.

What it does not do: run the kitchen, write your safe methods, or improve anything by itself. A cafe with great software and backfilled entries is worse off than a cafe with an honest paper diary — inspectors read records for credibility first.

The features that separate tools

When you compare tools, these are the differences that show up months later:

  • Works on the phones already in the kitchen — and keeps working offline in a basement prep room, syncing later
  • Corrective action captured on the out-of-range entry itself, not in a separate form nobody opens mid-rush
  • An allergen matrix that's readable at the counter, not buried in an admin screen
  • A multi-site view if you run more than one location — and per-site pricing that doesn't punish growth
  • Records exportable or printable for an EHO in minutes, including after you stop subscribing
  • UK-aware defaults — 8 °C legal maximum with 5 °C practice for fridges, SFBB-style daily structure — not US-only presets

What it costs

UK tools in this category are typically priced as a monthly subscription per site, most landing in the tens of pounds per month; sensor hardware, where offered, costs extra with every vendor. ProCafe's UK pricing at the time of writing is £19 per month plus £10 per additional location, with a 14-day free trial that doesn't ask for a card.

The real cost question isn't the subscription — it's adoption. A tool staff complete in seconds gets used daily and builds a record an inspector can trust; a tool they avoid produces gaps, and gaps are what inspections notice.

Questions to ask on any trial

Fourteen days is enough to answer all of these:

  • Can a new team member complete the opening checks in under a minute, unaided?
  • When a fridge reads 9 °C, does the app ask what you did about it — on the spot?
  • Can you show last Tuesday's checks in two taps, the way you would with an EHO standing next to you?
  • Does it work with no signal, and what happens to entries made offline?
  • If you cancel, can you take your records with you?

Where ProCafe fits, honestly

ProCafe is built for cafes specifically: daily checks and temperature logs designed for counter service, six editable starter procedures adapted from SFBB's England-and-Wales wording that you review and publish yourself, an allergen matrix with a may-contain state, and delivery records where acceptance or rejection is an explicit choice with a correction trail — no silent edits.

It is not the official FSA pack, it doesn't write your hazard analysis, and it makes no promises about scores. What it commits to is the part software can honestly own: records that are contemporaneous, complete, and easy to show.

Common questions

Do EHOs accept digital food safety records?

Yes. Food law requires that checks happen and records are kept — not that they're on paper. What an inspector cares about is that entries are contemporaneous and honest; time-stamped digital records with corrective actions are widely accepted, and you export or print when asked.

How much does food safety software cost in the UK?

Most tools charge a monthly subscription per site, commonly in the tens of pounds per month, with sensor hardware extra where offered. ProCafe is £19 per month plus £10 per additional location at the time of writing, with a 14-day free trial and no card required.

Can food safety software improve my hygiene rating?

It can make a well-run kitchen visible — complete, contemporaneous records support the 'confidence in management' element an inspector scores. It cannot purchase the score: the rating reflects how the business actually runs on the day, and no tool controls that.

Do I still need SFBB if I use software?

The legal requirement for a HACCP-based food safety management system stays either way. Software keeps the records side; the safe-method decisions remain yours, whether documented in the FSA's SFBB pack or in your own plan. ProCafe's starter procedures adapt SFBB wording, but the official pack is the FSA's.
