New Zealand Food Control Plan records for cafes

Set up your registration, methods and records around the activities you actually carry out.

Sources checked 2026-09-12 · your local authority always has the final say.

Choose your plan and registration

Use MPI My Food Rules to determine your plan or programme, registration authority and verifier. Many cafes can use the Simply Safe & Suitable template, but your activities determine the requirements.

Keep the actual registered plan and registration details in Documents. Confirm verification arrangements and due dates with your authority or recognised verifier.

Run the day and keep the evidence

Review NZ starters, assign staff and schedule the checks your plan requires. Record observations, results, the person and corrective action. Keep supplier, batch and allergen information current.

Required Food Control Plan records must be retained for at least four years after creation. Keep them readable and accessible; export copies for your own files, including before account closure.

Review specialist activities

MPI announced v39-00006 in August 2026, adding pre-cooked chilled meals with a shelf life of no more than five days and frozen meals sold directly to consumers. Confirm the applicable cards before adding these activities.

General starters do not establish a validated method for sous vide, sushi, biltong, specialist preservation or extended shelf life. Store and follow the appropriate method in your registered plan.

Workplace and fire-safety paperwork

Keep risk controls, training and incident follow-up with the site. Check WorkSafe notification criteria directly when an event occurs.

Coordinate evacuation procedures, any required approved scheme and drills with the building owner. ProCafe keeps records; it does not register the business, verify it or submit official reports.

Common questions

Does ProCafe approve my food-safety plan?

Your registration authority and recognised verifier have their own roles. ProCafe helps you organise and keep the records for your plan; it does not grant approval or certification.
