Temperatures & equipment

New Zealand: before you start
Build your routines around the food control plan or national programme that applies to your New Zealand business. For cafes using MPI's Simply Safe & Suitable template, the selected cards and your registered activities determine the work. Keep the completed checks and supporting methods ready for your verifier.
- Choose the NZ process that matches the food and the cards used by your business. Keep cooking, cooling, reheating and storage observations separate instead of reusing a generic fridge check.
- Record the required time observations with each temperature and identify the batch. Keep probe verification evidence so staff know which instrument is fit to use.
- Use the plan's corrective-action instructions when control is lost. Keep the decision about the food with the readings and any equipment investigation for the verifier to follow.
Review both stages of cooling
Start timing at 60 °C. Record the room temperature and cool the food to 21 °C or room temperature, whichever is colder, in less than two hours, then to 5 °C or below in less than a further four hours. Include the batch, dates, times, method and corrective actions.
The NZ two-stage starter checks both elapsed times and the colder room target. Partial records stay unfinished; failed limits require a corrective action. In Checklists, add the Cooling starter to use the timed form, then review and retire any earlier temperature-only schedule. Existing records keep their original meaning. Use Procedures to add method validation and optional process records.
Add equipment and choose how often it's checked
- Open Equipment (Settings → Equipment on mobile, or the Equipment page on the web).
- Add the unit — fridge, freezer or hot-hold — with its safe range (sensible defaults are pre-filled).
- Pick when it's checked: opening, midday, closing — any or all three.
ProCafe maintains the temperature checklists for you: each chosen time gets its own checklist with that unit in it. Change the times later and the checklists update themselves.
Record a reading
Today shows exactly which units still need a reading in each period. Tap the check, type the temperature on the keypad, and ProCafe tells you instantly whether it's in range.
When a reading is out of range
An out-of-range reading is saved and flagged — never lost. The card shows what failed in plain words with “Record what you did”: pick the action (moved stock, adjusted the unit, called an engineer…) and it's kept with the record. That's the corrective-action trail inspectors ask about.
Voiding a mistaken entry (managers)
Entries can't be edited or deleted — that's what makes the record credible. If something was logged by mistake, a manager opens the day's record, taps Void on the entry and writes a short note saying why.
- The original stays on the record and every export, struck through with the note.
- The check offers itself again on Today so the right reading gets taken.
- Every void is logged with who did it and when.
