Putting this into practice in New Zealand

Build your routines around the food control plan or national programme that applies to your New Zealand business. For cafes using MPI's Simply Safe & Suitable template, the selected cards and your registered activities determine the work. Keep the completed checks and supporting methods ready for your verifier.

MPI: using a Simply Safe & Suitable food control plan
  1. Keep a refused delivery distinguishable from food already prepared or served. Document the action on the food as well as repairs, cleaning or staff retraining.
  2. Retain the follow-up and any verifier or regulator correspondence. Review whether the incident means a method or selected plan card needs to change.

What it does

Log at the door
Record the refusal in the ProCafe app for iPhone and Android as it happens, even with no signal at the back door.
Reason and supplier recorded
What arrived, from whom, and why it was refused — damaged packaging, temperature, quality — captured while the van is still outside.
Close the loop
Keep the refusal open until the supplier has made it right, then close it with the outcome.
Part of the trail
Refusals sit alongside your deliveries and batches, so the paper trail from the back door is complete.

How it works

  1. Refuse and record

Log the supplier, the item and the reason on the spot.

  2. Follow up

Chase the credit or replacement with the record to hand.

  3. Close with the outcome

Mark it resolved — the history stays with your records.

The back door, on the record

Refused goods are exactly what an inspector asks about — every refusal is time-stamped and filterable next to your intake records.

  • Time-stamped refusals per site
  • Offline capture on iPhone and Android
  • Sits alongside deliveries and batches
